Volunteer & Partnership Policy

Effective Date: January 1, 2025

At DFYN Foundation, we recognize that our mission is advanced through the dedication of volunteers and the strength of our partnerships. This Volunteer & Partnership Policy governs the relationship between DFYN Foundation and all volunteers, educational institutions, NGOs, corporate sponsors, agricultural partners, logistics partners, FoodHMO partners, research institutions, strategic partners, and community partners. By volunteering or partnering with us, you agree to comply with this policy.

1. Scope and Application

This policy applies to all individuals and entities who volunteer for or partner with DFYN Foundation, including but not limited to:

  • Individual Volunteers: Persons offering time, skills, or services without financial compensation.
  • Educational Institutions: Schools, universities, and training centers collaborating for internships, service learning, or research.
  • NGO Partners: Non-governmental organizations working jointly on humanitarian projects.
  • Corporate Sponsors: Businesses providing funding, resources, or employee volunteers.
  • Agricultural Partners: Farms, cooperatives, and agribusinesses supporting food security programs.
  • Logistics Partners: Transportation, warehousing, and supply chain entities.
  • FoodHMO Partners: Health and nutrition-focused collaborators.
  • Research Institutions: Academic or scientific bodies conducting studies or evaluations.
  • Strategic Partners: Long-term collaborators shaping organizational direction.
  • Community Partners: Local community-based organizations and grassroots groups.

2. Volunteer Eligibility and Onboarding

To volunteer with DFYN Foundation, you must:

  • Be at least 16 years old (minors require parental/guardian consent and supervision).
  • Complete a volunteer application form with accurate information.
  • Submit to a background check where required (working with children/vulnerable adults).
  • Sign a volunteer agreement and confidentiality undertaking.
  • Complete mandatory orientation and safeguarding training.

We reserve the right to accept or decline any volunteer application at our sole discretion.

3. Volunteer Code of Conduct

All volunteers must adhere to the following standards:

  • Act professionally, respectfully, and ethically at all times.
  • Follow all instructions from DFYN Foundation staff and supervisors.
  • Maintain confidentiality as outlined in Section 5.
  • Refrain from soliciting donations, selling products, or promoting personal causes during volunteer activities.
  • Avoid any form of discrimination, harassment, or abuse.
  • Report any suspected misconduct, safeguarding concerns, or policy violations immediately.
  • Not engage in any activity that could harm DFYN Foundation's reputation or beneficiaries.

4. Volunteer Reimbursement and Benefits

Volunteers are not employees and receive no salary, wages, or benefits. However, DFYN Foundation may reimburse pre-approved, reasonable out-of-pocket expenses such as:

  • Local transportation costs (public transport rates).
  • Meals during full-day assignments (subject to limits).
  • Materials purchased specifically for volunteer activities (with receipts).

Reimbursement claims must be submitted within 14 days with original receipts. We do not reimburse personal expenses, luxury travel, or unapproved purchases.

5. Confidentiality and Data Protection

Volunteers and partners may have access to sensitive information including beneficiary data, financial records, internal strategies, and donor information. You agree to:

  • Keep all confidential information strictly confidential both during and after your relationship with DFYN Foundation.
  • Not share, copy, or remove confidential data without written authorization.
  • Report any data breaches or unauthorized disclosures immediately.
  • Destroy or return all confidential materials upon request or termination.

Breach of confidentiality may result in immediate termination and legal action.

6. Volunteer Intellectual Property

Any intellectual property (including writings, photos, videos, software, designs, or inventions) created by a volunteer during the course of their volunteer activities shall be the sole property of DFYN Foundation, unless a separate written agreement states otherwise. Volunteers waive any moral rights in such works and agree to execute any documents necessary to transfer ownership.

7. Volunteer Liability and Indemnification

DFYN Foundation provides general liability insurance for activities authorized in writing. However, volunteers remain personally liable for:

  • Intentional misconduct or gross negligence.
  • Violation of laws or this policy.
  • Actions outside the scope of assigned volunteer duties.
  • Damage to DFYN Foundation property caused by recklessness.

Volunteers agree to indemnify and hold DFYN Foundation harmless from any claims arising from their own negligent or wrongful acts.

8. Partner Eligibility and Vetting

DFYN Foundation enters into partnerships with organizations that share our mission and values. All prospective partners must:

  • Complete a partnership application and due diligence questionnaire.
  • Provide proof of legal registration (where applicable).
  • Submit to background checks, including anti-terrorism and sanctions screening.
  • Sign a formal Memorandum of Understanding (MoU) or Partnership Agreement.
  • Designate a primary point of contact for coordination.

We reserve the right to decline or terminate any partnership at our sole discretion.

9. General Partnership Expectations

All partners of DFYN Foundation agree to:

  • Act in good faith and in alignment with DFYN Foundation's mission and values.
  • Comply with all applicable laws (Nigerian and international).
  • Maintain accurate records and allow reasonable audits.
  • Not use DFYN Foundation's name, logo, or brand without prior written approval.
  • Promptly report any incidents, risks, or policy violations.
  • Refrain from any conduct that could damage DFYN Foundation's reputation.

10. Specific Partner Obligations

Educational Institutions

Shall provide adequate supervision for students, ensure student compliance with this policy, and bear responsibility for student conduct.

Corporate Sponsors

Shall not use DFYN Foundation's brand for commercial advantage without written consent. Sponsorship does not imply endorsement of products or services.

Agricultural Partners

Shall comply with food safety, environmental, and labor laws. Provide quality products as agreed.

Logistics Partners

Shall maintain proper insurance, secure handling of goods, and timely delivery. Bear liability for loss or damage during transit.

FoodHMO Partners

Shall comply with health regulations, maintain hygiene standards, and report any health incidents immediately.

Research Institutions

Shall obtain necessary ethical approvals, protect beneficiary privacy, and share findings with DFYN Foundation prior to publication.

Community Partners

Shall represent local interests faithfully and facilitate community engagement without exploiting beneficiaries.

11. Safeguarding Responsibilities

DFYN Foundation is committed to protecting children, vulnerable adults, and all beneficiaries from harm. All volunteers and partners must:

  • Complete safeguarding training as required.
  • Report any safeguarding concerns immediately to the Designated Safeguarding Officer.
  • Never engage in physical, emotional, or sexual abuse, neglect, or exploitation.
  • Maintain appropriate boundaries with beneficiaries.
  • Not photograph or share images of beneficiaries without explicit consent.

Any safeguarding violation will result in immediate termination, reporting to authorities, and potential criminal prosecution.

12. Misconduct Procedures and Disciplinary Actions

Allegations of misconduct against volunteers or partners will be investigated promptly and fairly. Possible outcomes include:

  • Verbal or written warning.
  • Additional training or supervision requirements.
  • Suspension from activities pending investigation.
  • Immediate termination of volunteer or partnership relationship.
  • Referral to law enforcement for criminal conduct.

DFYN Foundation reserves the right to take any action deemed necessary to protect its beneficiaries, staff, and reputation.

13. Partnership Termination Clauses

Either party may terminate a partnership by providing 30 days' written notice, unless otherwise specified in the MoU. DFYN Foundation may terminate immediately and without notice if:

  • The partner breaches this policy or applicable laws.
  • The partner engages in fraud, corruption, or misconduct.
  • The partner's actions endanger beneficiaries or staff.
  • The partner uses DFYN Foundation's brand without authorization.
  • The partner is listed on any sanctions or terrorist watchlist.

14. Media and Public Communication

Volunteers and partners may not speak to the media, post on social media, or issue public statements about DFYN Foundation without prior written approval from our Communications Department. Authorized communications must accurately represent DFYN Foundation and not disclose confidential information.

15. Use of DFYN Foundation Brand and Logo

The DFYN Foundation name, logo, and branding are protected intellectual property. Partners may only use our branding as expressly permitted in writing and in accordance with our Brand Guidelines. Unauthorized use constitutes a breach of this policy and may result in legal action.

16. Dispute Resolution

Any dispute arising from or relating to this Volunteer & Partnership Policy shall first be attempted to be resolved through good-faith negotiations. If unresolved within 30 days, the dispute shall be submitted to binding arbitration in Lagos, Nigeria, in accordance with the Arbitration and Conciliation Act, Cap A18, Laws of the Federation of Nigeria, 2004. Each party bears its own costs. Class actions are waived.

17. Governing Law

This policy is governed by the laws of the Federal Republic of Nigeria. Volunteers and partners operating internationally agree to also comply with their local laws, provided such compliance does not conflict with Nigerian law or DFYN Foundation's policies.

18. No Employment or Agency Relationship

Nothing in this policy creates an employer-employee, agent-principal, joint venture, or partnership relationship (except as explicitly stated in a signed MoU). Volunteers are not entitled to employment benefits, workers' compensation, or unemployment insurance. Partners are independent entities and not authorized to bind DFYN Foundation contractually.

19. Amendments to This Policy

DFYN Foundation may revise this policy at any time without prior notice. The latest version will be posted on our website. Continued volunteer or partner relationship after changes constitutes acceptance.

20. Survival of Provisions

Sections relating to confidentiality, intellectual property, indemnification, limitation of liability, and dispute resolution shall survive termination of any volunteer or partnership relationship.
