Donation & Refund Policy

Effective Date: January 1, 2025

At DFYN Foundation, we are committed to transparency, accountability, and responsible stewardship of every contribution. This Donation & Refund Policy governs all donations made to our organization — whether one-time, recurring, food, sponsorship, corporate, or agricultural support donations. Please read carefully before making a donation.

1. Types of Donations Accepted

DFYN Foundation gratefully accepts the following types of donations:

  • One-Time Donations: Single monetary contributions via bank transfer, card, or online payment platforms.
  • Recurring Donations: Monthly, quarterly, or annual automated donations.
  • Food Donations: Non-perishable food items, agricultural produce, and packaged meals (subject to quality and safety inspection).
  • Sponsorship Donations: Targeted funding for specific beneficiaries, programs, or educational support.
  • Corporate Donations: Contributions from businesses, including matching gift programs and CSR initiatives.
  • Agricultural Support Donations: Seeds, farming equipment, livestock, fertilizers, or funds for agricultural projects.
  • In-Kind Donations: Clothing, educational materials, medical supplies, and other tangible goods (subject to acceptance criteria).
  • Legacy & Estate Donations: Planned gifts, bequests, or wills.

2. Payment Methods and Processing

We accept donations through the following secure channels:

  • Bank transfers (local and international)
  • Credit/Debit cards (Visa, Mastercard, Verve)
  • Mobile money and USSD (Nigeria)
  • International payment gateways (PayPal, Stripe, Flutterwave)
  • Cryptocurrency (where available — Bitcoin, Ethereum, USDC)
  • Cheque or money order (subject to clearance)

All payment processing is handled by PCI-DSS compliant third-party processors. We do not store full payment card information on our servers.

3. One-Time Donations

One-time donations are processed immediately upon authorization. You will receive an electronic receipt via email within 48 hours. If you require a physical receipt for tax purposes, please contact us. One-time donations are generally non-refundable except as provided in Section 8 below.

4. Recurring Donations

By setting up a recurring donation, you authorize DFYN Foundation to charge your selected payment method on the scheduled interval (monthly, quarterly, or annually). You may modify or cancel your recurring donation at any time by:

  • Contacting us at dfynfoundations@gmail.com at least 5 business days before the next charge date.
  • Using the donor portal (if available) to manage your subscription.

If a recurring payment fails, we will make up to two additional attempts within 10 days. After repeated failures, the recurring donation may be suspended.

5. Food Donations

Food donations are accepted only if they meet Nigerian food safety standards and are not expired, damaged, or contaminated. We reserve the right to reject or dispose of any food donation that poses a health risk. A donation acknowledgment letter will be provided upon acceptance. Refunds are not available for food donations once accepted.

6. Sponsorship Donations

Sponsorship donations are allocated to specific beneficiaries or programs as designated by the donor. If a sponsored beneficiary is no longer available or a program changes, we will:

  • Notify the sponsor within 30 days.
  • Offer an alternative beneficiary or program.
  • Allow the sponsor to redirect funds to another initiative or general fund.
  • Refund only if no suitable alternative exists and the request is made within 60 days of notification.

7. Corporate Donations

Corporate donations are governed by any separate Memorandum of Understanding (MoU) or agreement. In the absence of a specific agreement, these terms apply. Corporate donors will receive:

  • A formal donation acknowledgment letter.
  • A tax receipt (where applicable under Nigerian tax law).
  • A post-campaign impact report upon request.

8. Agricultural Support Donations

Donations designated for agricultural support (seeds, equipment, livestock, training) are allocated to our farming empowerment programs. We do not guarantee specific crop yields or outcomes. Refunds are not available once agricultural assets have been procured or distributed.

9. Refund Policy — General Rule

Donations are voluntary and generally non-refundable. DFYN Foundation does not offer refunds for donor's remorse, change of heart, or failure to research our organization. However, we will consider refund requests only in the following exceptional circumstances:

  • Processing Error: You were charged an incorrect amount or duplicate charge due to our system error.
  • Unauthorized Transaction: Your payment method was used without your authorization (proof of fraud required).
  • Technical Malfunction: Our payment gateway caused a demonstrable error resulting in an unintended donation.
  • Funds Not Received: We cannot verify receipt of your donation after 14 business days (bank transfer only).

All refund requests must be submitted within 30 days of the transaction date.

10. How to Request a Refund

To request a refund, email us at dfynfoundations@gmail.com with the subject line "REFUND REQUEST" and include:

  • Full name and contact information.
  • Donation date and amount.
  • Transaction ID or payment reference.
  • Payment method used.
  • Detailed reason for the refund request.
  • Supporting evidence (screenshots, bank statements).

We will respond within 10 business days. Approved refunds will be processed within 15 business days to the original payment method.

11. Failed Payments and Chargebacks

If a donation payment fails due to insufficient funds, expired card, or bank decline, we may retry the charge. Donors are responsible for maintaining valid payment information. If you initiate a chargeback through your bank or card issuer without first contacting us for a refund, we reserve the right to:

  • Dispute the chargeback with supporting documentation.
  • Suspend your donor account or future donation privileges.
  • Recover any associated fees from the donor.

12. Donation Allocation and Flexibility

DFYN Foundation strives to honor donor designations. However, if a specific program is overfunded, discontinued, or cannot be completed as intended, we reserve the right to redirect donated funds to a similar program or our general operating fund to best serve our mission. Donors will be notified of any material reallocation where reasonably possible.

13. Emergency Campaigns

During emergency or disaster relief campaigns, donations are collected for immediate deployment. Due to the urgent nature of such campaigns:

  • Funds are allocated as soon as possible to affected communities.
  • Refunds are not available once funds have been disbursed.
  • If a campaign exceeds its target, surplus funds will be used for related relief efforts or future emergency preparedness.

14. Donor Transparency and Rights

As a donor, you have the right to:

  • Receive an acknowledgment receipt for your donation.
  • Request information about how your donation is used.
  • Remain anonymous (subject to legal disclosure requirements).
  • Opt out of public recognition or donor listings.
  • Request that your name be removed from our mailing list.
  • File a complaint with the appropriate regulatory authority if you believe funds were misused.

15. Fraud Protection and Misuse Prevention

DFYN Foundation actively monitors donation activity for fraud, money laundering, terrorist financing, or sanctions violations. We reserve the right to:

  • Screen donors against global sanctions lists (OFAC, UN, EU, Nigerian Central Bank).
  • Reject or refund any donation suspected of being fraudulent or illegal.
  • Report suspicious activity to appropriate law enforcement authorities.
  • Permanently ban individuals or entities from donating to our foundation.

We do not accept donations from politically exposed persons (PEPs) without enhanced due diligence.

16. Tax Disclaimers

DFYN Foundation is a registered non-profit organization in Nigeria. Donations may be tax-deductible to the extent permitted by Nigerian tax laws and the laws of your jurisdiction. We recommend consulting your tax advisor regarding deductibility. We provide donation receipts but do not provide tax advice. International donors should verify their local tax treatment of contributions to foreign NGOs.

17. International Donations and Currency Conversion

Donations made in currencies other than Nigerian Naira (NGN) will be converted at the prevailing exchange rate on the transaction date. Your bank or payment provider may apply additional currency conversion fees or international transaction fees, which are your sole responsibility. Refunds (if approved) will be issued in NGN at the exchange rate on the refund date, which may differ from the original donation rate.

18. Donor Privacy and Data Protection

We respect your privacy. Donor information is collected, stored, and processed in accordance with our Privacy Policy. We do not sell, rent, or trade donor lists. You may request deletion of your donor records subject to legal retention requirements (e.g., financial records retained for 7 years).

19. Disclaimers and Limitation of Liability

To the fullest extent permitted by law, DFYN Foundation shall not be liable for any indirect, incidental, or consequential damages arising from donation processing errors caused by third-party payment gateways, bank delays, or technical failures. Our maximum liability is limited to the amount of the donation in question.

20. Amendments to This Policy

We may revise this Donation & Refund Policy at any time without prior notice. The latest version will always be posted on this page. Continued donation activity after changes constitutes acceptance of the revised policy.

21. Governing Law and Dispute Resolution

This Donation & Refund Policy is governed by the laws of the Federal Republic of Nigeria. Any dispute arising from donations shall first be attempted through good-faith negotiations. If unresolved, the dispute shall be submitted to binding arbitration in Lagos, Nigeria, in accordance with the Arbitration and Conciliation Act. Class actions are waived.
